Job Description


As an Executive Assistant, you will provide strategic and administrative support to senior leadership, enabling effective decision-making, seamless operations, and optimal time utilization. Acts as a trusted partner to the executive, ensuring priorities are managed efficiently and business objectives are supported.

**Note: this is a 1 year direct contract role 

Key Responsibilities

1. Executive Support & Calendar Management

  • Manage complex and dynamic calendars, aligning meetings with business priorities
  • Anticipate scheduling conflicts and proactively resolve them
  • Prepare daily briefs, meeting agendas, and ensure executives are well-prepared

2. Strategic Coordination

  • Support execution of key initiatives by tracking deliverables, timelines, and outcomes
  • Coordinate across teams to ensure alignment on priorities and follow-ups
  • Act as an extension of the executive in driving actions and closures

3. Communication Management

  • Manage executive communications including emails, calls, and correspondence
  • Draft, review, and format high-quality presentations, reports, and documents
  • Interface with internal and external stakeholders with professionalism

4. Meeting & Governance Support

  • Organize leadership meetings, governance forums, and business reviews
  • Prepare materials, capture minutes, and track action items to closure
  • Ensure consistency and follow-through across all meetings

5. Stakeholder Engagement

  • Build strong relationships across functions and levels
  • Facilitate effective communication between leadership and teams
  • Handle sensitive interactions with confidentiality and discretion

6. Travel & Logistics Management

  • Manage end-to-end travel arrangements including itineraries and expenses
  • Coordinate logistics for meetings, offsites, and events

7. Operational Excellence

  • Drive administrative efficiency through process improvements
  • Maintain organized records, trackers, and documentation
  • Support budget tracking, procurement coordination, and reporting if required

8. Confidentiality & Professionalism

  • Handle confidential information with high integrity
  • Maintain professionalism in all interactions and communications

Qualifications

  • Strong planning, organization, and prioritization skills
  • Excellent verbal and written communication
  • High level of discretion and stakeholder management capability
  • Ability to work independently and manage multiple priorities
  • Attention to detail with a proactive mindset
  • Strong proficiency in Microsoft Office and collaboration tools

Qualifications & Experience

  • Bachelor’s degree in Business Administration or related field
  • 5–10 years of experience supporting senior leadership or C-level executives

Preferred Profile

  • Experience in fast-paced, matrixed organizations
  • Strong business acumen and ability to understand executive priorities
  • Proven ability to manage complex schedules and stakeholder expectations
